Moves Management Template
A free CSV template plus a practical guide to running moves management on your top 100 donors — without buying software you're not ready for yet.
What's in the template
One row per donor, eleven columns covering everything you need to run a disciplined cultivation cycle:
- Donor Name
- Stage (Identification → Stewardship)
- Capacity Rating
- Inclination (1–5)
- Portfolio Officer
- Last Contact Date
- Next Move Date
- Next Move Type
- Ask Amount
- Ask Date
- Notes
The donor cultivation cycle
Every major gift follows the same five stages. The template's Stage column maps directly to them.
Identification
Find prospects with the capacity and connection to give meaningfully.
- Pull a list of top annual donors, board referrals, and wealth-screened prospects.
- Capture name, source, capacity rating, and initial linkage to your mission.
- Decide who is worth qualifying — be ruthless; a focused list of 100 beats a sprawling list of 1,000.
Qualification
Confirm interest, capacity, and willingness to engage.
- Make a discovery contact — a call, coffee, or short visit.
- Listen for affinity (do they care?) and capacity (can they give at this level?).
- Drop prospects who aren't a fit; promote the rest into active cultivation.
Cultivation
Build a real relationship around shared values and program interest.
- Plan 4–7 meaningful moves over 6–18 months — visits, tours, expert calls, peer introductions.
- Document every interaction the same week it happens.
- Track the next move date so no donor falls through the cracks.
Solicitation
Make a specific ask tied to a specific opportunity.
- Confirm the right asker, the right amount, the right project, and the right setting.
- Ask in person when possible; be quiet after the ask and let the donor respond.
- Record the outcome — yes, no, counter-offer, or 'think about it' — and the next step.
Stewardship
Honor the gift and lay the groundwork for the next one.
- Thank the donor within 48 hours, then again in a different voice within 30 days.
- Report impact at least twice a year — stories first, numbers second.
- Plan the next cultivation cycle before the current pledge closes.
How to use the template each week
- Monday review. Sort by Next Move Date and work the top of the list.
- Log every touch. Update Last Contact Date and Notes the same day it happens.
- Plan the next move. Never leave Next Move Date blank — if a donor is truly resting, set a date six months out.
- Promote and demote. Move donors forward a stage when they're ready, and demote stalled prospects back to Identification rather than pretending.
- Review monthly with leadership. Filter by Stage = Solicitation for a clean pipeline view.
When the spreadsheet stops scaling
Most teams outgrow a moves management spreadsheet at around 75–100 active donors — version conflicts, missed reminders, no shared view across gift officers. JojoMajorDonor was built for that moment. Import this same CSV and you keep your history; we add reminders, a stalled-donor queue, and stewardship calendars on top.
Frequently asked
Moves management is a structured approach to major donor fundraising. Each 'move' is a planned interaction that advances a donor through the cultivation cycle — Identification, Qualification, Cultivation, Solicitation, and Stewardship — toward a meaningful gift and a lasting relationship.
Development directors, major gift officers, and executive directors at small to mid-sized nonprofits who want to track their top 50–250 donors without buying a full CRM yet.
Weekly. Block 30 minutes every Monday to review next moves, log last week's interactions, and refresh ask dates. Moves management only works if the data stays current.
When the spreadsheet starts costing you donors — missed follow-ups, duplicate outreach, no shared view across the team. JojoMajorDonor was built for that moment: import the same CSV and you keep going.
